Edit your data room structure + indexing

You can edit your data room structure and modify how items are indexed by following the below steps.

Switch to draft mode

Before making any edits, toggle off the published view so your changes stay in draft until you’re ready to go live.

Changing your data room structure

  • Move folders by dragging them to reorder or nesting them inside other folders.
  • Move files just as easily, drag them between folders or change their order within a folder.

Indexing and re-indexing

Each folder and file is tagged with a sequential index (e.g. 2.2.1) so everyone can reference items unambiguously.

  • Single folder: Select the folder and choose Re-index folder to renumber its contents.
  • Entire data room: Go to Options → Re-index data room to straighten out every index in one step.

Hot tips

  • Think twice before re-indexing during an active transaction. Re-indexing can disrupt people you've invited into the data room who rely on fixed references.
  • Whenever you add a new file or folder, append it to the bottom of its parent. This preserves existing indexes and keeps everyone on the same page.
